2. Data we collect

• Account data — name, phone number, email address and role, provided by you or your employer when your account is created.
• Attendance & activity data — clock-in/out times, field visit check-ins and check-outs, audit entries, pre-orders and leave requests recorded through the app.
• Location data — GPS coordinates captured at the moment of attendance logging, customer check-in/check-out and audits. Location is used to verify that field activity happened where it was reported.
• Device & technical data — device model, operating system, app version and diagnostic logs.
• Website enquiries — details you choose to send us via WhatsApp, email or our contact forms.

3. How location data is used

Location capture is a core feature of 1FieldApp and is used solely for work verification purposes: confirming attendance, validating customer visits and preventing fraudulent activity reports. Location is captured at discrete work events; the visibility of this data is limited to the employee concerned and authorised users of the employer's organisation (such as supervisors and management dashboards).

4. How we use data

• To provide the platform's features — attendance, field visits, audits, leave, insurance claims, pre-selling and analytics dashboards.
• To generate reports and MIS dashboards for the organisation you work for or manage.
• To secure the platform, prevent fraud and troubleshoot technical issues.
• To respond to enquiries and provide customer support.

5. Sharing

We do not sell personal data. Data recorded in the app is shared with your employer or the organisation that operates your 1FieldApp account, which acts as the controller of that data. We may use trusted infrastructure providers (such as hosting services) to run the platform; they process data only on our instructions.

6. Retention

Operational data is retained for as long as the organisation's account remains active, or as required for legal and accounting purposes. Organisations may request deletion of their data when their engagement ends.

7. Security

We apply industry-standard safeguards — encrypted connections, access controls and audit logging — to protect data against unauthorised access, alteration or loss.

8. Your rights

You may request access to, correction of, or deletion of your personal data. If you use 1FieldApp through your employer, some requests may need to be routed through them as the data controller. To exercise any right, contact solutions@emaan.digital.

9. Changes to this policy

We may update this policy from time to time. Material changes will be announced on this page with a new "last updated" date.
